Recruiting:
- Please CHECK YOUR JOBS . To do so:
1. Go to http://www.brockport.edu/career/jobshop-student.htm Login with the user ID career@brockport.edu and the password career 2. Click on Jobs in the light grey bar across the center of the screen. 3. Go to Position Type and choose On-Campus Work-Study and/or On-Campus Non-Work-Study and click the Search button. 4. All open The College at Brockport student employment jobs will appear. You can sort in alpha order by department by clicking on Employer at the top of the third column. Click each job to view it and to check accuracy. If a job does not appear, we do not have it listed as open. 5. Do not use the Forgot Password tab as that will reset the password and block other supervisors from signing in.
Call Ave Gardner at 2468 if there are updates, or you would like to open jobs or close jobs.
- Want to find out if a student has Work-Study? Just check the Forms Banner RJRSEAR screen. Enter the students SS or Banner ID and enter next block. WS award amounts will appear at the top of the screen. The total amount for fall and spring is labeled CWSP, and it must be accepted. If you want access to Forms Banner, call Rick at 5447. We also have sent lists to the listserv.
Hiring:
- We will begin doing Fall Authorizations on Monday, August 13 with start date of Friday, August 24. WORK-STUDY STUDENTS MAY NOT WORK BEFORE AUGUST 24. Temporary Service students may be approved on a limited basis; call Rick at 5447. All students must do an Authorization at Student Employment prior to starting work to be paid .
Simply send them to us to complete a W-4 (for tax withholding) and an I-9 (to prove legal eligibility to work). We will complete the Authorization form on Banner. In order to make sure students come to us prepared and ready to be put on the correct payroll, give Referral Forms to all students you are hiring, including returning students. WE ARE NOW BACK IN RAKOV.
- Albanys payroll system does not deliver the first student paycheck quickly. To minimize delay, a calendar of the steps necessary to generate that first and subsequent paychecks is on the Web at http://www.brockport.edu/career01/calendar.htm
- Want to know if the student has done the Authorization before you send in the first timesheet? Check the RJASEAR screen with SS or Banner ID, and see that the Authorization is complete and correct. If complete, the Activity Date on the bottom line of the screen will have the date. Remember students may have more than one Authorization. Use slider bar on the lower right to page between all Authorizations and check that your account # appears in the Placement and Position fields.
- The base wage for all student employees is $7.15 per hour . Returning WS students may be paid above the $7.15 base wage if you send documentation for the raise when sending the student to us. Paperwork
- The WS and TS timesheets are available at Payroll or on the Supervisors Manual Web Site. You have your choice of paper, or an Excel timesheets that calculates hours worked automatically. Payroll recommends using the Excel timesheets to ensure accurate totals and legible timesheets.
- Direct deposit forms are available at Student Employment and on the Web at
http://www.brockport.edu/~hr/AC2772.DOT For students using direct deposit, the first paycheck will be sent to the department or deposited depending on timing. Check stubs will be sent to the department. Students using direct deposit must notify payroll if they are switching payrolls (such as Work-Study to Temporary Service).
- A comprehensive printed calendar of payroll dates, other deadlines, and suggestions/reminders to manage your student employees is available from Student Employment. It is available on the Web at http://www.brockport.edu/career01/payroll.pdf
Print one for each student, and use this to enter hours worked and amount paid as each pay period happens. This will allow you and your student employees to easily monitor WS awards, and TS/WS earnings throughout the year.
- Posters have been sent for your student employees on Retirement Information (they may join, a very good idea if someone wants to work in teaching or state service), Maintaining Confidential Information, Falsifying Timesheets, and Completing Authorizations. Call 2468 if you need more.
Other
- Are you subscribed to the Student Employment listserv? All supervisors should subscribe . This email distribution list will keep you informed with updates from Student Employment and Payroll. Information on subscribing is at http://www.brockport.edu/career01/listserv.htm Not sure if you are subscribed? Call Rick Kincaid at 5447.
- We will do biweekly postings to Banner showing each WS students award, the amount paid each paycheck and the remaining balance. Remember, you must be subscribed the supervisors listserv to receive notification of these postings, and you must obtain access to Forms Banner.
- Training for supervisors will be held on Thursday, August 16 at 9 am, or Monday, August 20 at 9 am. RSVP to 5447 . Topics will include using Banner, subscribing to the listserv, tracking WS earnings, using the Student Employment Basic Training Web site, and any other topics you would like.
- We have cut off making additional Work-Study awards for Fall . If you want a student to start work, you must hire them on Temporary Service.
- WS allocations to departments will be announced in mid- August and should guide fall hiring levels.
- If a student has not begun using WS or asked us to hold it by October 1, we will withdraw the award offer.
