Appointment Letter Templates

  • Academic Appointment Full-Time Temporary Previous
    • This letter is used to appoint to temporary appointments full-time academic employees who have had previous temporary appointments and have not a had break in service of two semesters or more.

  • Academic Rank New Employee Term Appointment
    • This letter is used to appoint new academic rank employees to tenure track term appointments.

  • Academic Rank Term Renewal
    • This letter is used to renew the term appointments of academic rank tenure track employees.

  • Adjunct - First Term Appointment
    • This letter is used to change an adjunct from a temporary appointment to a term appointment following the adjunct's completion of 6 consecutive semesters. Adjuncts receiving such term appointments become eligible to participate in the optional retirement program providing that they elect to do so within 30 days.

  • Adjunct - Initial Temporary Appointment to Campus
    • This letter is used to appoint a new adjunct (first appointment as an adjunct or an adjunct who has never had a term appointment who is being reappointed after a break in service of two semesters or more.)

  • Adjunct - Temporary Reappointed Temporary
    • This letter is used to reappoint a previously appointed adjunct who has not had a break in service of two or more semesters and has not yet completed 6 consecutive semesters of service.

  • Adjunct - Term Renewal
    • This letter is used to renew adjunct term appointments.

  • Coach (Full-Time) or other Appendix B-4 (Division III) title
    • This letter template is used for initial appointments to titles in Appendix B-4 (Division III level of competition) of Article XI of the Policies of the Board of Trustees of the State University of New York. Appropriate for the following budget titles if the coaching-related duties account for 75% or more of their professional obligations: Head Coach, Assistant Head Coach, Coach, First Assistant Coach, Associate Coach, Assistant Coach, Coaching Assistant, Division I Head Coach (Showcase Sports).

  • Chair Designation - New Chair
    • This letter is used for the initial designations of chairs of academic departments.

  • College Year Appointment Mid-year
    • This letter is used for the initial appointment of professional employees appointed to college-year obligations who are appointed off-cycle (mid-year). It is used primarily for Residence Hall Director and Residence Hall Intern appointments.

  • Continuing Appointment
    • This letter is used to notify academic rank employees that the president is recommending them to the chancellor for continuing appointment (tenure).

  • Graduate/Teaching Assistant (Previous)
    • This letter is used to reappoint graduate assistants and teaching assistants who will not have a break in service.

  • Prior Service Credit Approval for Academic Employees
    • This letter is used to notify academic employees of the approval of their request for prior service credit and its impact on their continuing appointment (tenure) effective date. If such employees decide to waive the credit within 6 months of their appointment, they can return a copy of this form memorandum to the Director of Human Resources with the waiver section completed.

  • Prior Service Credit Approval for Professonal Employees
    • This letter is used to notify professional employees of the approval of their request for prior service credit and its impact on their permanent appointment effective date. If such employees decide to waive the credit within 6 months of their appointment, they can return a copy of this form memorandum to the Director of Human Resources with the waiver section completed.

  • Probationary Appointment from Permanent
    • This letter is used to appoint a professional employee serving on a permanent appointment to a one year probationary appointment in a different title. At the end of the probationary year the appointee receives a permanent appointment in the new title (with a new tenure date) and does not retain the permanent appointment in the former professional title.

  • Probationary Appointment from Term Appointment
    • This letter is used to appoint a professional employee serving on a term appointment to a one year probationary appointment in a different title. At the end of the probationary year the appointee receives a new term appointment as appropriate in the new title and does not retain a term appointment in the former professional title. The new term appointment in the new title shall be for a duration not less than the unexpired time of the previous term appointment.

  • Resignation Acknowledgement
    • This letter is used to acknowledge resignations.

  • Sabbatical Leave Approval
    • This letter is used to approve sabbatical leave requests in response to applications that include a signed statement that the employee requesting the leave will return for at least one year following completion of such leave.
