Best Practices for using the Outlook ConnectR Add-in
Library, Information, and Technology Services (LITS) is providing this list of best practices for using the Mirapoint ConnectR Outlook synchronization tool. Following these practices will help ensure that your Web Calendar and Outlook Calendar data is consistent.- In Outlook, synchronize with only those calendars you absolutely need to manage on a day-to-day basis. The number of shared calendars and the size of the calendars will impact performance. The more data you need to synch, the longer it will take. Any calendars removed from Outlook can still be viewed through webmail without any performance impact.
- Before scheduling an event within Outlook, run a manual synchronization and ensure it completes successfully. If you get a message stating that it did not complete successfully, you may not have the latest changes of the calendar you are currently trying to manage. Restart Outlook and try again.
- After scheduling an event, perform a manual synchronization to ensure that all changes have been replicated to the server. This will help assure that all changes are viewable by everyone who may be viewing that calendar. Remember; “Save and Synch”
- When scheduling an event in Outlook, save and close the event window as soon as possible. Leaving a new event window open and not saving and closing it in a reasonable time may cause that event to not synchronize.
- If you find that you have walked away or left a new event unsaved, note the information that you need, then close the window and re-create the event from the beginning.
- Doing frequent manual synchronizations as explained above will help assure that all data is consistent.
- Please contact the Help Desk if you cannot perform a manual synchronization because the option is no longer available. This is caused by the add-in being disabled.
- Schedule recurring events for no longer than a year at a time. Try to avoid scheduling re-occurring events that have no end date. Events with no end date will cause your calendar to increase in size.
- Avoid using third party vendor meeting invitations when possible. The event they are sending to you may cause some issues. Note the information in the event and re-create it using Outlook or webmail.
- When receiving an invitation for a calendar event from a Brockport user, open the message invitation with Outlook or webmail. If you do not open and accept the invitation, the event will not appear on your calendar. It never hurts to double-check your calendar to verify that events are there.
- If you receive a message that you are using an out of date version of ConnectR, please download and update to the latest ConnectR. There are instructions on our website to guide you through the process.
- Read through the ConnectR user guide by downloading the guide at the www.connectrinfo.com website. Also familiarize yourself with the release notes because they may shed some light to already known issues.
