How to Export your Calendar using Outlook 2007

Effective Thursday, November 19, 2009 the College will implement a new online calendar retention policy. As of that date online calendar entries more than 400 days old will be automatically deleted. This change is necessary in order to improve the performance of our calendar and email system.

If you are not concerned about retaining calendar entries more than 400 days old, no action is necessary on your part. However, if you would like to archive your older calendar data, please read on.

The process below outlines the steps you will need to follow to keep the old data. Once a calendar event reaches the age of 400 days, it will then be purged from the server. Please note that a re-occurring event that was created over 400 days ago will only be purged from the server if the whole series reaches the age of 400 days.

Exporting your calendar using MS Outlook 2007:

You will use Microsoft Outlook 2007 to export your calendar. Open Outlook and do a manual synchronization with ConnectR to ensure you have the most updated changes to your calendar. Below is a link to the documentation on how to do a manual synchronization:

Then within Outlook go to ‘File’ ‘Import and Export…’.

You should see the following “Import and Export Wizard” window. Select “Export to a file” in the screenshot below and then click ‘Next’.

Select “Personal Folder (.pst)” and click ‘Next’ as shown below:

Select the “Calendar” under “Personal Folders” and click ‘Next’.

If you don’t see the ConnectR folders (Highlighted in yellow above) within the “Personal Folders” tree then you may need to contact the Help Desk for further assistance. You are either in the wrong Personal Folders in your Outlook Profile or you do not have Outlook ConnectR Add-in installed. Also note that if you manage a resource (vacation or conference room – highlighted in blue above) calendar you can repeat the steps in this documentation to export those calendars.

You will then be prompted to save the exported file. Click “Browse…” to select where to save your exported calendar. Rename the *.pst file (highlighted in yellow below) to the period of time in your calendar that you will be interested in potentially later referencing. Naming it “past_to_8_20_09.pst” will allow you to quickly find past data for that segment of time. The next time you save your calendar export a year later by naming it “8_21_09_to_8_20_10.pst”. This doesn’t have to necessarily be exactly every year, but ensure it is never longer than or equal to 400 days.

Ensure you leave the default Options selected “Replace duplicates with items exported”. Then click ‘Finish’.

Outlook will prompt you to name the Personal Folders file. In the “Name:” field put the name you chose for the *.pst file. In this scenario “past_to_8_20_09”. Then click ‘OK’.

Depending on the size of your calendar it may take some time to export it.

You have now successfully exported your calendar as an Outlook *.pst file that can be only viewed by Outlook. Please reference the document “How to View Your Exported Calendar with Outlook 2007” at:

Another recommendation is to utilize filecity to store your exported calendar files. Documentation on how to use filecity can be found at: Filecity

Note: This process would need to be repeated within every 400 days if you always wanted to keep the data. (We suggest yearly since it is an easier timeframe to remember).
