The Acquisitions Department of Drake Memorial Library is responsible for purchasing all monographic material and media as recommended by academic and library staff, and monitoring expenditures of departmental allocations.
The Acquisitions Department receives approximately 12,000 - 15,000 order requests per year. Orders are researched for complete bibliographic information, price, and availability. If the title is not available, i.e. not yet published/forthcoming, it is put into a holding area and checked for availability on a regular basis.
If departmental allocations allow, the orders will be input into our Library Catalog. The status in the catalog will then read "On Order." Titles verified as "Out of Print" are searched on the OP market for approximately one year before they are returned to the library coordinator asking if we should continue our search.
It takes approximately 4 - 6 weeks for books to arrive from a vendor, and a few additional days for cataloging and processing. Once the items have arrived the status will change to "Cataloging" until the items have been cataloged and processed.
If an item is needed on a RUSH basis, please note RUSH in the priority drop-down of the request form. You will be notified by the Circulation Department as soon as the item is ready for you to check out. Rush orders are labor intensive, so we ask that you plan ahead to minimize the need for RUSH materials.
If you would like to be notified when an item has arrived, but not necessarily have it rush ordered, please note in the comments field of the request form that you would like to be notified upon the item's arrival. The order will be flagged, and upon the item's arrival you will be notified by the Circulation Department.
Once a department has spent its allocation, orders are held until additional funding becomes available. Discounts and cancellations oftenfree up money. We like to have enough orders on hand to assure the department's allocation is spent by June 30th, the end of the fiscal year.
Drake Memorial Library welcomes all donations, though we reserve the right to find another home for materials that we don't add to our collection. The library cannot provide valuations of your gift. We will acknowledge receipt of the gift by sending you a letter describing the number and type of items that you have donated.
