Configuring Exchange on Outlook 2007 and Outlook 2010

Important: LITS does not recommend using the new account wizard included in Outlook.

Exchange Autodiscover

Outlook 2007 and Outlook 2010 use a process called Autodiscover to automatically obtain Exchange settings and configure your account. LITS has found in testing that this process does not always configure all settings consistently nor does it include recommended settings for getting the best experience from Outlook with your Brockport Exchange account.

As a result, we recommend not using the new account wizard that is included in Outlook and contacting the Help Desk to have your account quickly setup.

Existing Outlook User

1) Contact the Help Desk at (585)395-5151, option #1 or helpdesk@brockport.edu and request to have Outlook setup with your Brockport Exchange account. Please indicate that you are an existing Outlook user.

2) The LITS staff member will check your account for data and settings that were stored in your previous Brockport email account including:

  • Locally stored or duplicate email folders
  • Signature files
  • Rules and Alerts
  • Auto-complete history for contacts
  • Distribution lists

3) Any existing Outlook Add-ins such as the ConnectR tool for the old Webmail system will be removed.

3) A LITS staff member will remotely connect to your computer and run our custom configuration tool which configures Outlook 2007 or Outlook 2010 in a few brief minutes.

4) The LITS staff member will work with you to restore or consolidate any data and settings that were stored in your previous Brockport email account.

5) Once the configuration is finished, open Outlook on your computer and sign into your account using:

  • Domain\user name: win\your_netid
  • Password: your_netid_password

6) Outlook will begin to download your email folders, email messages, calendar, and contacts. This process may take a lengthy period of time based on how much data is saved in your account.

New Outlook User

1) Contact the Help Desk at (585)395-5151, option #1 or helpdesk@brockport.edu and request to have Outlook setup with your Brockport Exchange account.

2) A LITS staff member will remotely connect to your computer and run our custom configuration tool which configures Outlook 2007 or Outlook 2010 in a few brief minutes.

3) Once the tool has finished, open Outlook on your computer and sign into your account using:

  • Domain\user name: win\your_netid
  • Password: your_netid_password

4) Outlook will begin to download your email folders, email messages, calendar, and contacts. This process may take a lengthy period of time based on how much data is saved in your account.

Outlook Recommended Settings

The following important recommended settings are automatically configured by LITS when using our custom Outlook configuration tool:

  • Outlook Junk E-mail is set to No Automatic Filtering: Email filtering information is available at Brockport Email Filtering
  • Empty the Deleted Items folder upon exiting is turned off: Exchange uses a 10 day retention history on the Deleted Items folder
  • Auto Archive is turned off: Having this feature enabled creates confusion if an archive strategy hasn't been put in place
  • Attachment Preview Handling is turned off to prevent confusion
