Office of Marketing Communications

Event Marketing and Management:

Event Marketing:
This is Marketing Communications' side of the job, done often in conjunction with the Office of Design and Production.

The Marketing Communications manager's job is to: photo of text in book
  • Provide copy (text) for invitations, programs, ads, press releases, media alerts and press kits
  • Facilitate production of invitations and/or programs with Design and Production
  • If warranted, pitch the event to the media via telephone, e-mail or fax
  • If warranted, arrange for Jim Dusen, Photo Services, to photograph the event for use in Statements and/or Kaleidoscope
  • Provide a script for the President, if requested
  • Greet and guide media representatives who attend the event
  • In general, counsel the client about the marketing implications of his/her decisions (e.g., scheduling that could be in conflict with another campus event)

Event Management:
This is the client's side of things; Marketing Communications does not have an event-management function.

The client's job is to:
  • Contact Sue Hawkes, events coordinator, 395-5645
  • Set dates, times, locations
  • Arrange for catering
  • Manage the invitation list (except for news media)
  • Set up the venue (including sound systems/AV and lighting needs) or arrange with Facilities and Planning or BASC
  • Stuff and mail invitations (except to the media)
  • Provide nametags, corsages and other guest "gifts" or give-aways
  • Greet and welcome guests; provide personnel to take tickets/confirm seating for formal events
  • Cover all costs (except those involved in mailing/faxing materials to media and for media kits); also cover costs for advertising the event if warranted
