Regular attendance is important for the smooth operation of day to day functions.  It is also a reflection on how well you will perform in future jobs and will be a consideration on both your evaluation and future letters of reference. Take it seriously.  

 You are expected to:  

1. Be at work at the time you are scheduled.  Stay for as long as you are scheduled.

2. If you are sick or an emergency has come up, CALL YOUR SUPERVISOR AS SOON AS YOU KNOW YOU CANNOT WORK.  Illness cannot be planned, but a quick phone call can help us plan.

  3. Request time off in advance for long holiday weekends, over breaks, for appointments with doctors or professors.  Requests should be in writing.

4. Keep accurate records of the hours you work.  This is checked when your supervisor signs your timesheet and discrepancies will be noticed and acted upon.  See sample timesheets a little later for Work Study students and Temp Service students.

5. Timecards are due on specific dates every two weeks.  To access the payroll calendars, please use the address below, substituting the numbers referencing academic year with the year you want. For example, use: http://www.brockport.edu/career01/calendar0708.htm with the 0708 representing the 2007-2008 academic year.  Change the year in the address as appropriate.

Payroll calendars also may be available as Excel files or pdf files. Just substitute .xls or .pdf for .htm at the end of the file name. 

Supervisors do their best to collect timecards when they are due, but it is your responsibility to make sure timecards are properly filled out, signed and turned in to your supervisor for her/his signature on time.  FAILURE TO COMPLETE YOUR TIMECARD ON TIME WILL RESULT IN PAYCHECK DELAYS.  Checks will normally be available in your workplace on paydays after 11:30.

6.  Get paid on time!!!   Fill out the timecard completely and carefully.  Use ink.  Print.  We cannot pay timecards that are not correct- and then your paycheck is delayed another two weeks. 

7.  Students may not work more than 20 hours during a payroll week (Thursday- Wednesday) during a semester, and not more than 40 hours during a payroll week during a break period.  International students cannot work more than 20 hours per week at any time during a semester without violating the conditions of the student visa.

8.   Your timesheet should show hours worked in one of only two formats:  fractions or decimals using 15 minute intervals only.  Round hours worked to the nearest ¼ or .25 hours.  For example, a two hour and 30 minute shift should be reported as 2 ½ or 2.5.  A two hour and ten minute shift should be rounded up to the next 15 minute interval, and should be reported as 2 ¼ or 2.25.

This may be completed in Excel, or printed and filled out in pen.  Ask you supervisor for their preference.
