A. Essential Responsibilities
25% Provide proctoring services for Brockport students, as follows:
The Instructional Support Assistant would provide proctoring services for Brockport students, including:
• Foreign Language Placement Exam – ongoing administration every semester
o 26 testing sessions in Fall/8 testing sessions in Spring
o Creating placement exam schedule and reservations for exam sessions
o Providing special testing sessions provided in summer for EOP summer students
o Managing Banner data input and amendments to student DARS reports to assure reliability and accountability for meeting the Foreign Language General Education requirement
o Exporting exam results from Blackboard following each testing session and converting results to a format compatible with requirements for uploading to Banner using WinSCFP application
o Communicating with students who have questions regarding the placement exam
o Communicating with the Department of Modern Languages and Cultures on advisement issues
• Plan and administer CLA+ - performance based critical thinking assessment which is required by Middle States and SUNY – administered every four years; scheduled AY 2018-2019
o CLA+ is a performance based critical thinking assessment of college students.
o 200 Students will take the exam in Fall 2018/200 Students will take the exam in Spring 2018
o Develop and submit a testing plan to CLA in the Spring semester
o Create a plan for identifying an appropriate cross-section of students in freshman cohort and senior cohort and develop an action plan for communicating with identified students and faculty
o Identify a testing window for Fall and Spring sessions, reserve testing lab, and confirm availability of proctors for all sessions. Typically 10 sessions during the week designated by CLA for both Fall and Spring semesters.
o Work with Banner to access information regarding the sample cohort (Registrar data) which is required by CLA in advance of the testing sessions. For example, ID information, age, gender, SAT/ACT scores, and majors.
o Collaborate with the Director of Accountability and Assessment to provide student incentives for adequate participation
o Administer assessment sessions during testing window in Fall and Spring semesters.
• Proctoring Services for Distance Learners – both Brockport/SUNY students and students from other institutions (outside students pay fee for service)
o Work with Brockport faculty and students as well as students/administrators/faculty from other institutions to schedule, proctor, and report results of online distance exams
20% Coordination and support of the Periodic Administrative Unit Assessment process, as follows:
• The Periodic Administrative Unit Assessment (PAUA) process begins in late spring/early summer when the administrative units scheduled to undergo review are identified.
• Assisting in the creation of a new, streamlined Periodic Administrative Unit Review Template and a revised 5-year review schedule.
• Initial meetings with the leadership of each unit are scheduled individually at which time the Director of Assessment and Instructional Support Assistant review the process and requirements.
• The Instructional Support Assistant serves as the planner and facilitator for the focus group analysis. After the exercise, the Instructional Support Assistant sends all notes, priority selection worksheets, and priority selection findings to the unit leadership.
• The Instructional Support Assistant serves as a resource for the unit leadership as they move through the remaining steps of the process, which includes the completion of the three sections associated with PAUA:
Section 1: Administrative Unit Review;
Section 2: Administrative Assessment Documentation; and
Section 3: Closing the Loop Documentation.
Assistance to be provided to the administrative unit includes, but is not limited to, the following:
• Answering questions about the information to be included in each section;
• Answering questions concerning the timeline for submission of the section;
• Solving issues related to how the templates function;
• Writing assistance;
• Review of goals and outcomes; and
• Analysis of assessment data.
Instructional Support Assistant also coordinates the Closing the Loop presentation by the unit to their respective leadership (dean, director, vice president, etc.). Instructional Support Assistant is also responsible for continuing to assure that the calendar for PAUA is current and accurate; assuring that any changes in organizational reporting relationships are reflected and updated in the calendar.
20% Support of the General Education Assessment Faculty Teams, as follows:
The Instructional Support Assistant works directly with the General Education faculty teams with respect to inputting rubrics and assisting general education faculty with entering course documentation and assessment data into the online assessment system Tk20 or Blackboard. This includes the following:
• Receive and enter into Tk20 or Blackboard new/updated general education rubrics from faculty team chairs for the following areas (rotating on a four-year cycle):
o The Arts
o Social Sciences
o Natural Sciences
o Information Management
o Oral Communication
o Western Civilizations
o Critical Thinking
• Create and send in Tk20 or Blackboard generic or specific assignment templates with the appropriate rubric attached for courses selected for general education assessment;
• Assist and train faculty in entering general education assessment data into Tk20 or Blackboard; and
• Run and provide data reports of general education assessment data to general education faculty team chairs.
20% Support of the Periodic Program Review Process for Faculty
Brockport’s Periodic Program Review process requires a SWOT analysis. The program faculty feel this process is useful in developing priorities for the program. This exercise assists the program faculty in examining how well it is achieving the program’s goals. The related duties include the following:
• Pre-planning meeting with faculty
• Planning and facilitating the SWOT session
• Developing the analysis package, which contains the notes, priority selection worksheets, and priority selection findings to the faculty periodic program review team.
Assistance to be provided to the programs undergoing periodic program review includes, but it not limited to, the following:
• Answering questions regarding information to be included in the review document
• Solving issues related to how the document functions
• Survey assistance for program alumni survey data and other necessary information
• Proofreading and editing
• Scheduling external reviewer meetings on campus for administrative meetings
• Follow-up regarding external reviewer program reports
• Provide assistance with Joint Action Plan documentation
• Coordination of closing-the-loop meetings with provost and other administrators
• Follow-up with office of the provost to ensure a response to the closing-the-loop
meeting has been communicated to the program faculty chair in a timely manner
The number of program reviews for non-accredited programs are scheduled as follows:
AY 2018-2019 10 reviews
AY 2019-2020 17 reviews
B. Secondary Responsibilities
10% Assessment Website Development and Management
The Instructional Support Assistant would also assist the Office of Accountability and Assessment by serving as the department web manager. This includes the following duties:
• Managing and maintaining the general education assessment website
• Managing and maintaining the accountability website
• Developing, managing, and maintaining an administrative assessment website
• Developing, managing, and maintaining a program assessment website
5% Other duties and responsibilities as assigned by the Director of Assessment
• Accreditation related activities regarding the Middle States Commission on Higher Education
Bachelor’s Degree from a regionally accredited institution
Experience in higher education
Excellent writing and editing skills/proofreading
Highly developed organizational and problem-solving skills
Ability to work independently and with minimum supervision
Master's Degree from a regionally accredited institution
Experience in academic and administrative assessment
Presentation, teaching or training experience
Excellent interpersonal skills with ability to respond in a calm and supportive manner
Excellent written and oral communication skills
Ability to work with a culturally diverse population
