Secretary 1 - Provides support for two mid-sized departments: The Department of Communication and The Department of Journalism, Broadcasting, and Public Relations. Full-Time, Contingent/Permanent, Monday - Friday 8:00 am to 4:00 pm, Line #00198

Position Summary:

Provides primary administrative support for two mid-sized departments - The Department of Communication and The Department of Journalism, Broadcasting, and Public Relations, which includes supporting 12 full-time faculty and various adjuncts.  Manages the day-to-day operations of the office.

Essential Functions:

Provides administrative support for Department Chairpersons and faculty.

Serves as departmental liaison with prospective students, current students, community and faculty (including in-person, phone calls and email inquiries).

Manages access to online resources such as Banner, Blackboard and SUNY BI Finance System. 

Processes paperwork for faculty appointments, travel reimbursement forms, equipment requests, service contracts and equipment repairs. 

Processes and supply purchases for stationery and envelopes, business cards, and other office supplies. 

Coordinates and copies class materials; collects, reviews and files course syllabi; distributes and collects course evaluations; and distributes Majors Reservations and advisement documents.

Provides word processing support using Microsoft Word to assist faculty and staff.  Types, copies, and completes project requests.

Assists chairperson with budgets – maintains departmental budget records: closely monitors expenditures, maintains current balance(s), etc. Reconciles VISA statements.

Interviews, hires and supervises work study students. Creates work schedules; monitors time and attendance; and verifies and approves time-sheets.

Attends faculty meetings. Records and distributes meeting minutes.

Monitors equipment rentals, places holds on students’ accounts, and collects fines due for late, lost or damaged equipment.

Maintains general office files and forms

Minimum Qualifications:

Must have permanent appointment in a Secretary 1 classified position (or be eligible for transfer) or be reachable for appointment on the current NY State Civil Service canvass list for Secretary 1 - Brockport, Full-Time.

Preferred Qualifications:

Possesses excellent interpersonal communication skills (in-person, on the phone, in writing), to effectively manage faculty, students, and various community inquiries. Requires patience, diplomacy, tact, and attention to detail.

Has experience and/or strong interest in working in an academic environment with faculty and students.

Retains excellent organizational skills; ability to prioritize work; work independently, multi-task, and meet deadlines.

Has strong computer/word processing skills (ability/familiarity with Microsoft Office - including Word and Excel; Blackboard; Banner; SUNY BI systems; and other software programs as needed).

Has supervisory skills (for working with work study students).
