Executive Assistant to the Provost

Campus Title: Executive Assistant to the Provost

Salary Level: MP5

Minimum Salary: $56,500

Reporting to the Provost and Vice-President for Academic Affairs, the Executive Assistant to the Provost provides high-level support and coordination for the Provost, and serves as interface between the Provost's Office and other executive offices. The Executive Assistant to the Provost serves as a communication link and is involved in many sensitive and confidential issues, supporting policy development, and processing of documentation and/or conversations related to personnel actions associated with faculty and other staff within the Division of Academic Affairs. Primary duties include managing the Provost’s calendar, scheduling travel and reconciling reimbursements, coordinating logistics and agendas for meetings of the Provost, coordinating events, drafting written correspondence, managing and coordinating the budget activity of the Provost's accounts totaling more than $1M, and maintaining Academic Affairs webpages.

Required Qualifications

Bachelor's degree from an accredited US Department of Education or internationally recognized institution; experience managing, planning, coordinating and implementing events; experience with web content management systems; proven communication and organizational skills; excellent organizational skills with high attention to detail; demonstrated proficiency in computer skills, especially Microsoft Office Word and Excel; expertise in high-level calendaring using Outlook; and the ability to establish and maintain good working relationships with faculty, staff and students.

Preferred Qualifications

Experience in executive-level support in higher education; thorough knowledge of SUNY and College at Brockport policies and procedures, and working knowledge of academic policies and procedures; demonstrated proficiency in Blackboard, SUNY HR, and Banner; budget management experience; experience in managing a busy office with discretion, tact, and patience; ability to work with a culturally diverse population of students and employees; ability to work independently with minimal supervision and as part of a team; ability to use good judgement and discretion with presented with confidential information; ability to learn quickly, assess, prioritize and multi-task, balancing deadlines, unexpected emergencies, and working accurately under pressure.
