The Assistant Director of Finance for the Division of Advancement (Advancement), the Brockport Foundation (BF), and the Brockport Alumni Association (BAA) is responsible for the day-to-day financial functions and reporting of the BF and BAA. 

Major Responsibilities


Collaborate with the Director on a satisfactory outcome of BF and state audits.

Assist the Director in safeguarding the assets of the BF and its financial records.

Ensure daily BF receipts are balanced and deposited, disbursements are properly reviewed and approved prior to payment, and all entries are promptly posted to General Ledger.

Complete monthly and quarterly financial and management reports for the State and Foundation and ensure they are available within 15-20 days of month end.

Complete reconciliation of individual fund balances.

Prepare all reconciliations on a monthly basis and ensure they are presented to the Vice President.

Develop and maintains journal entries necessary for accurate reporting.

Develop and maintains a number of supplementary reports that incorporate external data sources (GAAP FS, CASE, NACUBO etc.) to evaluate and benchmark financial and fundraising progress, ensuring compliance with appropriate best practice reporting standards.

Ensure that hard copies of all financial reports and special projects are filed in a consistent and organized fashion.

Assist with the relationship with the Investment and Audit managers, ensuring they are included in BF Finance & Investment as well as Audit Committee meetings.

Prepare and execute cash transfers between asset accounts.

Ensure adherence to BF Investment & Spending policy.


Support, research, prepare, comply, and present the joint BF/BAA and Advancement annual budgets for discussion, analysis, and approval to Directors and committees in a timely fashion.

Assist the Director with quarterly budget reports to VP and Directors.

Manage the Division of Advancement BASC budget.

Represent the Finance area as required in preparation and planning for future campaign (annual and/or comprehensive) needs.

Manage the Emergency Student Loan program.

Manage the disbursement and tracking for both student and faculty grant programs.

Manage the disbursement, tracking, and reporting for the Undergraduate Summer Research Program.


Assist the Director with strategic direction for Advancement finance, while ensuring operational needs are met.

Collaborate with the Director to ensure all fundraising related data and information is accurately captured and managed.

Incorporate efficient and effective use of technology where possible.

Identify and improve efficiencies in processes.

Provide assistance to staff, alumni, committee/board members, and donors as requested and needed.

Required Qualifications

Bachelor's degree in Accounting or Finance from an accredited US Department of Education or internationally recognized college or university; minimum of three or more years of experience in accounting; advanced computer skills (including a working knowledge of fund accounting software systems, Excel and Access); experience with report writing software; demonstrate ability to take initiative, work independently and perform as a valued team member; ability to exercise sound judgment, to demonstrate an understanding of ethics related to Advancement activities, and to use discretion in interactions with prospects, donors, volunteers and others; excellent interpersonal, written and verbal skills and the ability to work effectively within a diverse community; strong organizational skills.

Preferred Qualifications

Master’s degree in Accounting or Finance from an accredited US Department of Education or internationally recognized college or university; CPA; experience working with Banner; experience working with Blackbaud Financial Edge-NXT; professional experience working in Advancement; experience in higher education or a not-for-profit agency in financial and budget management.

Division Description

The College at Brockport’s Division of Advancement consists of the Offices of Giving, Alumni Engagement, Advancement Services, Donors Relations & Stewardship, and Finance. In addition to their daily responsibilities, Advancement staff members provide support to the volunteer boards of the Brockport Alumni Association and the Brockport Foundation. The mission of the division is to advance a legacy of philanthropy and engagement.
