The Assistant Financial Aid Advisor is most often the point of contact between students and parents and the Financial Aid Office. They are responsible to respond to inquiries by telephone, in-person or via email, interpreting and explaining federal, state and institutional requirements and procedures. The Assistant Financial Aid Advisor is also responsible for the intake and reading of all incoming documents and forms. They are responsible to review them for completeness and accuracy including requests for clarification or modifications as necessary. They are also responsible for the scanning and indexing of all documents including supervising student employees in this task. They are responsible for the development/updates to policies and procedures relevant to their area of expertise. Finally, this position will assist senior staff in administrative duties for designated aid programs/procedures. This task will include serving as a staff resource, helping to develop materials and respond to inquiries.

A. Essential Functions: (List fundamental duties the incumbent performs; the “must haves” of the position and the approximate percentage of time spent.)
25% - Administrative Functions
· In conjunction with a senior staff member be responsible for the administration of designated aid programs/procedures including successful implementation, assessment and compliance. Such programs/procedures include but are not limited to:
— The new New York State Excelsior Scholarship including the development and documentation of procedures, creating promotional materials, serving as a resource person for the office and responding to inquiries from students and staff members.
— Federal and private student loans including the determination of eligibility and loan amounts as well as the processing of loan applications both hard copy and electronically. This position will also help to analyze borrowing trends and benchmark results. This will also involve the development of debt management strategies and the providing of financial literacy products to students.
— Student Employment/Federal Work-Study, ensuring compliance with federal and state regulations. This will include the proper processing of employment documents with students, assistance with job placement, record keeping and necessary reporting to various entities.
— Federal TEACH Grant including making sure that students have completed all necessary requirements (applied, completed the counseling tutorial and other documents), certifying their eligibility and posting or adjusting awards as necessary on the Banner system.
— Academic Progress/Student Outcome Tracking including knowledge of the relevant regulations and requirements, analysis of individual student records, and the advisement of students.
· Working with the senior staff member, be able to read, interpret and utilize data for analysis and reporting functions for specified programs.
· Research and interpret policy or regulations to office staff, serving as a backup for the senior staff member.
· Design and distribute promotional or other materials for designated programs.
30% - Serve as the primary liaison between students/parents and the Financial Aid Office
· Possess a proficient knowledge of all federal, state and institutional financial aid policies and procedures relevant to the processing and administration of aid.
· Interpret aid requirements and policies in the advisement of students and families in person, over the telephone or via email.
· Educate students with the appropriate knowledge they need to make informed decisions regarding their financing of a college education.
· Ensure all requests for information as well as documents received are processed sensitively, timely, accurately and according to policy.
30% - While supervising student staff, ensuring the accuracy and security of all student records in accordance with FERPA, College policies and standard records management practices.
· Evaluate all submitted forms or data transfers for accuracy/completeness in accordance with regulations and procedures.
· Initiate request to students whenever clarification or further information may be required in person, by telephone or Self-Service Banner.
Responsible for the review, approval, scanning, and indexing processing of confidential documents submitted to the office for a student’s financial aid application file with assistance from student employees whom they supervise.
Ensure that these confidential records are kept secure and accessible in an electronic format destroying the original hard copy documents at regular intervals once the eletronic version has been verified. Ensure that the proper electronic documents are retained as specified in federal and state retention requirements, arranging for their destruction at proper intervals.
Be responsible for the inactivation or destruction of records for students not attending, taking a temporary academic leave, graduating or dismissed initiating the proper exit interview procedures or aid cancellation as necessary.
15% - Update of aid policies and procedures relevant to their area of responsibility (designated programs as detailed above)
At least annually or whenever needed, review relevant procedures and forms for accuracy or needed updates.
Compose or update office policy and procedures in accordance with their interpretation of any changes in federal or state regulations or as necessary to enhance the processing of financial aid applications.
Be reponsible to maintain the comprehensive manual of policy and procedures on the financial aid shared file (Filecity2) utilized by office personnel in the performance of their duties.

Remains competent and current through self-directed professional reading and interpretation of regulations and other relevant materials, developing professonal contacts with colleagues, maintaining membership in professional organizations and active participation in bi-weekly full staff meetings and trainings as well as relevant workshops and conferences sponsored by the various professional financial aid associations (NYS Financial Aid Administrators Association, SUNY Financial Aid Administrators, etc.).
Bachelor's Degree from an accredited US Dept of Education or internationally recognized institution
Attention to detail
Excellent interpersonal and organizational skills
Proficient with computer based office applications
Ability to multitask/prioritze
Ability to interpret and implement complex regulations or policies
Master’s degree from an accredited US Dept of Education or internationally recognized institution
Knowledge of Banner or other Student Information System
Superior communication skills including written media
Prior customer service experience
Ability to work in a multicultural environment
Experience in at least one or more of the following:
