Office Assistant 2 (Keyboarding) - Parking and Transportation
This position serves as support staff for units Parking, Transportation. Work consists of day to day activities of the department, which includes but not limited to all aspects of customer service, accounts receivable, data entry, development of simple reports, preparation and testing of software and oversight of student staff. Will provide front line support by way of cashiering; data management; address simple inquiries and the maintaining of proper records. Reporting is upward to the Director and downward to student employees.
•Supervise student staff, providing coordination and oversight of daily activities. Coordinate assignment of duties and performance standards of assigned staff and continually work to improve office procedures and efficiency. Assist in monitoring staff performance and provide input in the evaluation to the director. Maintain student employee time/attendance records. Will provide all aspects of supervision as described in Occ. Code 2581200, Office Assistant 2 job standards.
•Hire, schedule, train and evaluate student staff
•Assure necessary coverage for assignments and office
•Resolve complaints and problems
•Provide office support by serving as front line staff (cashiering; monitor phones; two email accounts; submitted online forms; supplies information and proper parking credential; answers basic college related questions).
•Maintains a positive image ensuring we are providing a welcoming atmosphere.
•Assist with the oversight of the citation adjudication process.
•Properly communicates to supervisor of any pertinent updates that can impact delivery of services.
•Provide assistance with outreach activities. Serve as department representative at various college hosted events such as Open House, Freshman Orientation, etc… Facilitate oral presentations, staff information table.
•Actively participate with the preparation and distribution of department publications.
•Assist in the development of training documents.
•Under general supervision, assist in upkeep of systems and programs used.
•Assists with configuration of systems in preparation of permit sales; registration retrievals; collection agency files, appeals. Proper testing of applications.
•Assist in training staff.
•The design and development of reports utilizing Crystal Reports and Flex systems as necessary for management review.
•Assist with development of publications and strategies to remain active with social media. Assist with upkeep of website.
Administration of Accounts Receivable
•Oversee account with collection agency. Prepare and reconcile all accounts. Future goal: revamp file template to include encrypted ss#.
•Works with staff to assure proper billing protocols are followed, i.e. state and SUNY guidelines
•Maintain student holds.
•Prepare daily cash deposits, as needed.
•Reconcile all cash, credit card deliveries, EasyMoney as needed.
•Ensure proper internal controls and record keeping is maintained or improved.
•Several data management processes, such as ROVR (registration retrieval); permit fee to student bill; track proper authorization of such; demographic feed for Banner.
•Daily reconciliation of e-commerce transactions
•Adhere to College internal control policies.
•Provide support for campus events such as, commencement, open house, homecoming, student orientation and events and activities related to student success.
•Engage in appropriate professional development programs to remain current in the field and to be able to accurately advise employees.
•Working knowledge of several systems
•Serve on various committees, as needed
•Weekends may be required
One year as an Office Assistant 1; or one year of permanent service in a clerical or keyboarding title allocated to Grade 5 or higher, and must have permanent appointment in an Office Assistant 2 classified position (or be eligible for transfer) or be reachable for appointment on the current NY State Civil Service eligible list for Office Assistant 2 (Keyboarding) full time – Brockport location. New York State Preferred Lists candidates have preference.
•Demonstrated effective supervisory relationships; ability to work independently; ability to multitask; organization and problem solving skills.
•Working knowledge and support of the various ancillary services and programs offered: Eagle Run shuttle, car sharing, and carpooling.
•Working knowledge of several programs: Flex parking management; Administrative Console (T2 Systems, Inc); Digital IRIS; Banner-SCT; Crystal Reports; Transloc; NYS Department of Motor Vehicles; ROVR registration retrieval; Quikpay; FTP (File Transfer Protocol); and CMMS (Computerized Maintenance Management System).
•The ideal candidate will have experience using Microsoft Office software including Word, Excel, Access and Outlook; exceptional customer service skills; strong interpersonal skills and the ability to work as part of a team; strong written and verbal communication skills; effective interpersonal skills; excellent attention to detail.
