Secretary 1 - Education and Human Development - Employment Opportunity

Position Summary:

Assists the Chair in the day-to-day functioning of the Department of Education and Human Development.  Supports faculty and staff as needed.

Essential Functions:

Acts as the department liaison to current and prospective students, visitors, college faculty and staff, and community members.

Responds to inquiries, telephone calls and emails.

Manages all incoming and outgoing correspondence.

Supports faculty:  Types, maintains records and Filecity2, prepares and manages forms, orders supplies and materials.

Manages personnel and payroll processes. Prepares new hire paperwork, appointment forms for extra service, adjuncts and college supervisors. Maintains personnel files.

Manages the department budgets: reviews and reconciles the monthly budgets using various systems. Prepares and coordinates travel pre-approvals and reimbursements.  Reconciles the department P-card account monthly.

Hires, trains, schedules and supervises work study students.

Schedules equipment maintenance and manages supply acquisitions and inventory. Troubleshoots equipment problems, and organizes equipment check-out.

Coordinates and organizes department and faculty projects and initiatives, such as (but not limited to) grants, annual awards and certification ceremonies, semi-annual student teaching workshops and Summer Literacy programs.

Organizes and maintains files, property and key controls, general correspondences, accesses BANNER and Forms BANNER, schedules meetings, attends department meetings and takes minutes.

Manages the physical environment: prepares offices for new faculty and staff members, organizes and maintains workspaces such as the technology storeroom and Cooper classrooms.

Assists with meetings and special events, acts as the department contact with the Events department for room reservations and BASC Catering for catering needs.

Minimum Requirements:

Candidate must have permanent appointment in a Secretary I NY State classified position (or be eligible for transfer) or be reachable for appointment on the current NY State Civil Service eligible list for Secretary 1, Full Time - Brockport location, Full-Time. 

Preferred Qualifications:

Has excellent organizational and time management skills.

Possesses strong computer/word processing skills.

Has strong interpersonal skills.

Associate degree or 2 years of secretarial experience.

Has knowledge of Excel.

Has knowledge of BANNER system.

Has general knowledge of college functions.
